Time Management: Tips and Tools

In the article, I collected tips and time management tools that I used myself, and which really brought results.

Planning
Planning is the key to time management. When planning, keep in mind that it must be reasonable and feasible - your effectiveness depends on it.

Set specific goals and objectives
Correctly describing your goal is not an easy task. Special time management techniques helped me with this.

Decomposition
Distinguish goals and objectives. The goal is large-scale and general. To achieve a goal, you need to "break it up" into more specific and local tasks. This technique is called "target decomposition."

For example, you need to organize an event. Your goal is “The event was held on time within the approved budget”. Achieving this goal consists of the implementation of specific tasks:

“Site selection and coordination”,

“Selection and approval of invitees”,

"The choice and organization of entertainment."

SMART
Once you have broken your primary goal into tasks, articulate them clearly. Use the SMART method for this. The task should be:



specific

measurable

Attainable

actual or true (Relevant),

limited in time (Time-based).

The task formulated in this way is easy to carry out - its description already contains requirements. An example of the formulation of the SMART task: "Increase online sales in Russia by the end of 2017 by 25%."

Fix action plan
Record tasks and goals in a paper or electronic planner. This will help free your head and not worry that you forgot something. As a bonus, get a lot of pleasure by deleting the completed task from the list. In this case, the motivation to complete the next task increases.

Gantt Chart
This is a visual representation of the planned tasks in the form of a calendar. Indicate in the diagram tasks, their dates, time and order of execution.

To-do list
Long-term list of major tasks. Write down what you plan to do in the future, what goals to achieve, what tasks you need to complete for this. Set a preliminary date. Enrich this list with new ideas.

Annual and monthly list. Indicate which tasks from your main list you take into development or continue next month, and which next year. Set end dates for selected cases.

List for the day. Describe what you will do tomorrow for what purpose. Check which tasks drop out the next day from the monthly list. Supplement it with the deeds that appeared today. Make a similar adjustment in the evening every day so that you don’t spend time in the morning.
